Boston Government Services is seeking an Executive Assistant to support executive team in Washington, DC.

Responsibilities:

  • Works independently to support vice presidents with administrative tasks (sometimes of a confidential nature).
  • Keep abreast of key issues, commitments, and priorities of leadership team.
  • Perform market research activities.
  • Prepare and/or edit corporate documents (e.g., presentations, meeting materials, corporate reports, correspondence, etc.).
  • Maintain calendars, including scheduling of meetings and assisting with coordinating local office events.
  • Coordinate registrations for conferences and tradeshows, including exhibiting and sponsoring.
  • Greet clients and guests at front desk.
  • Coordinate desk and office space for visiting staff.
  • Manage catering orders and food and beverage needs, including stocking breakroom.
  • Prepare letters and packages for shipment.
  • Independently complete requests as needed, refer appropriate requests to other staff members, forward appropriate requests to appropriate manager.
  • Demonstrate judgement and initiative within provided guidelines.
  • Coordinate travel arrangements and travel itineraries, including preparation of detailed expense reports.
  • Coordinate and organize meetings, conference calls and video conferences, and arrange for conference rooms, and equipment as needed.
  • Prepare, collect, review, and distribute meeting agendas.
  • Receive, sort, and distribute mail and process incoming and outgoing correspondence.
  • Independently anticipate problems and changing priorities, and alert manager as appropriate.
  • Schedule appointments based on the manager's commitments and priorities.
  • May handle highly sensitive, business proprietary information.
  • Draft and proof correspondence and capture meeting notes accurately and concisely.
  • Performs other tasks as required.
Qualifications

Minimum Qualifications:

  • Associate degree in English, Communications, Journalism, or Business Administration, or relevant discipline.
  • Experience performing administrative tasks for multiple individuals.
  • Ability to handle matters expeditiously and proactively, meet deadlines, and follow-through on projects to successful completion and exercise sound judgment and decision-making.

Preferred Qualifications:

  • Bachelor's degree highly desired. At least 5 years of experience performing in a similar function.
  • Knowledge of technical vocabularies and terminology common to federal government contracting.
  • Detail oriented work ethic and ability to manage multiple assignments simultaneously.
  • Excellent oral and written communication skills.
  • Mastery of English grammar, mechanics, and usage.
  • Advanced computer skills (Word, Outlook (including Calendar), Excel, Access, Adobe Acrobat, Power Point, Visio, etc.).
  • Must demonstrate a positive attitude and work effectively with all levels of internal and external customers.
  • Must be proactive with the ability to work autonomously with strong follow through and ability to meet deadlines.
  • Proven administrative capability including the ability to multi-task while maintaining attention to detail and accuracy.
  • Must be able to operate effectively in an extremely fast-paced, high energy, environment.
  • Must be flexible and willing to shift gears and take on unexpected and/or unanticipated projects as needed.
  • High level of professionalism and ability to collaborate with all levels of the organization.

  • This position is located in (Washington, DC) and is a Hybrid Work Arrangement.
