Job Description

RCAC's Impact and Policy Department supports the organization and Chief Impact and Policy Officer in all areas to support the achievement of RCAC's major goals and objectives serving rural and Indigenous communities and organizations across its region. It works in concert with all of RCAC's program areas-Building Rural Economies, Environmental, Housing, and Loan Fund-to advocate for policies and programs that will increase the organization's impact in the rural and Indigenous communities it serves.

General Purpose:

Under general supervision of the Chief Impact and Policy Officer, this role performs and oversees administrative support and research activities, such as specialized recordkeeping, data entry, database management, scheduling and meeting support. This position will support both the Chief Impact and Policy Officer and Chief Operations Officer

Specific job goals, objectives and tasks are established for each employee as part of the annual evaluation and work plan process. Job Duties and Responsibilities:

  • Processes incoming requests for assistance that are submitted via a web form and forwards the requests to appropriate personnel or departments.
  • Prepares correspondence, reports, minutes, agendas, memos, forms, directories, resolutions, and other documents and communications from drafts, recordings, or verbal instruction as requested.
  • Schedules meetings and trainings; arranges logistics if needed for employees.
  • Processes and tracks requests for CIPO and COO signatures and ensures they are completed.
  • Creates, processes, and tracks vouchers for expenses.
  • Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.
  • Returns calls, records, and delivers messages, or transfers calls to appropriate team members.
  • Examines, checks, and verifies reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements; follows up on discrepancies.
  • Schedules department events and activities; manages departmental or manager's calendar.
  • Attends meetings and takes minutes as requested.
  • Creates and revises presentations for professional staff as requested.
  • Establishes, maintains, and updates files, databases, records, and other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
  • Uploads and downloads project progress documentation.
  • Assists field staff with submission of progress reports and required documentation.
  • Conducts research to resolve operational questions or issues as requested.
  • Establishes and maintains an effective filing and retrieval system.
  • Ensures meeting rooms are clean and ready for use.
  • Maintains inventory of office and field supplies and departmental records.
  • Acts as back-up for reception desk and emergency coverage.
  • Arranges travel, prepares, and submits travel-related documents, and maintains travel information as necessary.
  • Performs other related duties as assigned.

Supervision Exercised:

No supervisory responsibilities.

Minimum Qualifications and Necessary Requirements:

  • EDUCATION: High School Diploma or GED.
  • LICENSE/CERTIFICATION: Valid driver's license and proof of insurance that meets the minimum requirements ($100,000/$300,000) of RCAC corporate liability policy.
  • EXPERIENCE: One year of administrative experience. Proficient computer skills with Microsoft Office programs. Or equivalent combination of education and experience can meet minimum qualifications.
  • Must pass a criminal background investigation prior to employment.

Knowledge, Skills, and Abilities:

  • Skill with personal computers, including cloud computing and Microsoft Office
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of planning and scheduling techniques.
  • Organizing and coordinating skills.
  • Customer service skills.
  • Ability to provide meeting minutes in a timely manner
  • Ability to create, compose, and edit written materials.
  • Ability to make administrative and procedural decisions and judgments.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to carry out instructions furnished in verbal or written format.
  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
  • Ability to maintain confidentiality.
  • Ability to analyze situations and adopt appropriate courses of action.
  • Ability to meet strict timelines.

Preferred Requirements:

  • Associates degree.
  • Customer service experience.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit and stand; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to stand; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision requirements include close vision, distance vision, color vision, and depth perception.

Working Conditions:

Work is typically performed in an office with a moderate noise level. Evening and/or weekend work may be required.
